Vendor Technician Role Enhancements
Vendor Technician is not a new Role in the Tango maintenance module, but we have rolled out numerous improvements to the Role that we hope Vendors will find useful.
The Vendor Technician Role now has its own specific Home Page in the application with Tiles/Reports filtered to show their assigned Work Orders so the Technician users can focus on their own work instead of all work orders for the vendor.
Since this article is client-facing, and not directly available to Vendor personnel, please share this information with your Maintenance vendors if they might find these updates useful, or if they have questions about the changes.
Vendor Roles For Tango Maintenance
To better understand the Vendor Technician Role enhancements, it is important to know the various Roles and access Vendor users have.
Vendor users in the Maintenance Module have always had the choice between the Work Order Vendor and Vendor Technician Roles. The initial Vendor User created by the System is also given the Vendor Administrator Role, which allows that user to create and manage other users for the Vendor going forward.
Vendor Administrator
As mentioned above, the Vendor Administrator role is given to the initial Vendor user by default. As a Vendor Administrator, this user has access to create and update other Vendor users by going to the Users menu item from the Vendor Administration menu.
From here the Vendor Administrator can Add, Delete, or update/manage all users for the Vendor. The Vendor Administrator can also grant the Vendor Administrator Role to other users if they want more people with User admin access.
Below is an example of the default Roles assigned to a Vendor User in the Tango Maintenance module.
And another example of a Vendor User created by the Vendor Administrator and only given the Vendor Technician Role. The Vendor Technician Role is used in the Technician lookup field on the Work Order and is the focus of the new enhancements.
Work Order Vendor
Work Order Vendor is the default Role assigned to the initial Vendor user created by the invitation process (when a Vendor is initially dispatched a Work Order).
This Role has full access to all steps in the Work Order process. There is no concept of work being “assigned” to a specific user in this Role, so the users will see all Work Orders Dispatched to the Vendor.
This user will be able to assign Technicians to Work Orders using the Technician Field, available on Tabs/Steps 1 and 2 (Review and Visit/Repair) of the Work Order screen.
Only users with the Vendor Technician Role are displayed in the Technician field lookup
Vendor Technician
The Vendor Technician Role is used as a filter on the Technician lookup field described above. Vendors could historically assign these Users to the Technician Field on Work Orders for reporting purposes, but prior to the changes described below, the Vendor Technician Role used to have the exact same Home page/access as the Work Order Vendor Role.
As described below, the Vendor Technician Role has been overhauled to differentiate the from the Work Order Vendor role and focus on “assigned” Work Orders.
Vendor Technician Home Page Updates
The enhancements introduced in June 2022 include a new Home page for the Vendor Technician. The Home page “My Actions” tile reports are now filtered to only show the Work Orders to which the Technician is assigned.
Users in the Vendor Technician Role can now focus on the Work Orders assigned to them, but they do still have access to view “All” records using the reports in the Queries tiles.
The Vendor Technician Role does not have access to the Vendor Acceptance step, but otherwise has full access to the Work Order process including Estimates and Invoicing functionality.
