Space - Reserve Integration Guide

Purpose

This guide explains how to manage building exclusions, asset groups, and neighborhoods within Reserve, especially when syncing data from the Space module.

? 1. Excluding a Building from Reserve

If a building shouldn’t appear in Reserve, you can easily exclude it. This will take away the floor synch buttons.

Steps:

  1. Open the Building Record.
  2. Locate the “Exclude from Reserve” checkbox.
  3. Check this box to remove the building from Reserve.

    NOTE: To actually get a LOCATION over to Reserve from Space you have to synch FLOORS. 

Result:

  • All Floor Sync buttons for that building will disappear. The floors will no longer sync to Reserve.
  • If you want to stop synching a space, change "Is Reservable" to 'No' and resynch. This will make the asset inactive in Reserve.

? 2. Asset Groups Overview

Asset Groups organize and control which spaces users can book.

Key Points:

  • When you first sync with Reserve, all assets appear under a default group called “Reserve Assets.”
  • You can create additional asset groups to manage access to specific spaces or departments.
    • Example: Create a group for “Executive Rooms” or “Training Spaces.”

Where to Manage:

  • Asset groups are configured directly within Reserve.
  • Advanced management options (like access permissions) are covered in training videos.

? 3. Setting Up Neighborhoods in Space

Neighborhoods group related spaces together — for example, HR or Legal areas.

To Create a Neighborhood:

  1. In the Space module, define a Neighborhood Area.
  2. Assign the relevant spaces to that area.
  3. Check the box labeled “Is Neighborhood.”

Result:

  • The neighborhood setup will automatically carry over into Reserve when synced.

? 4. How Neighborhoods Appear in Reserve

Once synced, neighborhoods display visually for end users.  Any layers you turn on in Space will come over to Reserve on the floor plans as a Reserve layer set which will carry over to all floor plans universally.

Features:

  • Each neighborhood is outlined with a color and includes a legend for easy identification.
  • You can select any color you prefer for each neighborhood.
  • Reserve automatically creates a matching Asset Group for each neighborhood.

Optional Settings:

  • If you want the neighborhood to be informational only (e.g., to label HR or Legal zones):
    • You don’t need to add booking restrictions or assign specific user groups.

ShapeThere is no legend in Reserve that highlights those layers.

 

? 5. Neighborhoods Across Multiple Floors

Neighborhoods with the same name on multiple floors are grouped together in Reserve. Under 'Tasks', select the synch icon, then select multiple floors and select 'Push to Reserve'.

Important Notes:

  • If “Neighborhood A” exists on multiple floors, Reserve treats it as one asset group.
  • In the Space module, each Neighborhood Name must be unique per floor to avoid confusion.

Function Description

Exclude from Reserve

(Building)

Removes a building from Reserve and disables floor syncing. Excluding a floor means not synching it.
Reserve Synch OnDemand Integration. You must hit the Synch Button for the changes to go over to Reserve.

'Reserve Space Name' 

(In Space)

This goes over as the 'Asset Name' in Reserve that users see. 

Needs to be unique per floor. Otherwise defaults to 'Space Name' or 'SpaceID'

Reserve Assets Default asset group containing all synced assets

'Space Use'

'Amenities'

Must be populated for a space to go over to Reserve. 

Must be mapped to a 'Category' and 'Type' in Reserve or it will not synch.

'Exclude from Reserve' (Attributes) Excludes the CAD image from coming over to Reserve.

'No Shapes in Reserve'

(Attributes)

Excludes the hotspotting.
Additional Asset Groups Used to control who can book specific spaces
Neighborhoods Group spaces visually and functionally for users
Multi-floor Neighborhoods Combined into one asset group in Reserve if they share the same name

  • Use distinct neighborhood names per floor to maintain clarity.
  • Keep color schemes consistent for easy recognition by users.
  • Use Reserve’s legend feature to help users quickly identify areas.
