Tango Space to Tango Reserve Integration Cheat Sheet

Use this guide after your initial sync from Tango Space to Tango Reserve to ensure that your data is accurate, clean, and ready for use.
All actions below should be performed by a Reserve Administrator (or a user with equivalent permissions).


General

  1. Manage Roles & Rights
    • Navigate to: Settings > General > Roles & Rights
    • Define which rights each Reserve role should have by default.
  2. Enable MS Teams (Optional)
    • Note: This requires a Reserve M365 Connector to already be in place.
    • In Properties, select MS Teams if you are using the Reserve M365 Connector.
      • If enabled, the MS Teams checkbox is displayed for collaboration space reservations. When the box is checked, a Teams link is added to meeting invitations.

Locations (Buildings)

Validate & Update

  1. Confirm Location Name – Check for spelling or naming inconsistencies.
  2. Review Floors & Maps – Ensure all floors and maps synced correctly from Space.
  3. Add Photos (optional) – Helps users identify locations visually.
  4. Review Policies – Confirm local policies (e.g., auto-bump rules, geofence) are correct.
  5. Add Contact Info – This contact appears in the Reserve email notifications for user inquiries.
  6. Deactivate Unused Locations– If a building should not appear in Reserve:
    • Set it to Inactive and Archive it.
    • You can re-sync it later from Space when needed.

Assets (Spaces / Rooms)

Data Validation

  1. Check Asset Names
  2. Validate Amenities – Ensure the correct amenities (A/V, capacity, etc.) are listed.
  3. Verify Hours of Operation – Confirm accuracy.
  4. Review Policies – Defaults come from templates, so adjust as needed (e.g., reservation duration limits, check in requirement etc).

Tip: Use the Data Management Utility (DMU) to export a .csv of your asset data for easy bulk review and bulk updates.

  1. Update Asset Groups– Assets are defaulted to the Reserve Assets group. Confirm restricted or special-use spaces are correctly grouped.
    • You can bulk update via DMU.
  2. Add Photos (optional) – Helps with user experience especially when using the List View.
  3. Set Notifications
    • For rooms requiring approvals or alerts, configure notifications with contact emails.
    • Reserve sends automatic emails for created, modified, or cancelled reservations.

Users (People)

(Applicable when User Management Portal (UMP) is not used)

Validate Profiles

  1. Assign User Roles– Update any profiles needing elevated access:
    • Administrator, Manager, Community Manager, or custom roles.
  2. Validate Business Rules – Export user data via DMU to check accuracy and make bulk updates.
  3. Manage User Groups – Users default to ALL USERS. Use DMU to reassign groups in bulk.

  5. Verify SSO Configuration – If using SAML SSO, confirm credentials are populated correctly.

Ongoing Data Maintenance (in Reserve)

Once synced, some data maintenance occurs in Reserve. These updates do not flow back to Space.


 Assets

  1. Confirm Hours of Operation remain accurate.
  2. Periodically review policies for alignment with company standards.
  3. Update asset groups as usage or restrictions evolve.
  4. Maintain photos and other descriptive data.
  5. Review notification settings to ensure the right users are alerted.

Users

  1. Ensure roles reflect the user’s access.
  2. Periodically export via DMU to audit user data.
  3. Keep user groups updated for reporting and permissions accuracy.

? Pro Tips

  • Always validate in Reserve after each sync from Space.
  • Use DMU exports regularly to catch discrepancies early.
  • Keep a change log when making manual updates in Reserve for future reference.
  • Archive unused buildings or rooms to keep Reserve clean and searchable.
