Understanding User Roles and Setting Up Your Rights Template in Tango Reserve

Tango Reserve includes four default User Roles. Each role has its own set of rights, which your Administrator defines. This collection of rights is called the rights template for that role. When you assign a role to a user, the rights in that role's template are automatically applied to the user by default. 


We recommend setting up your rights templates as soon as you get access to your Reserve. That way, every new user is given the right permissions from the start.

How to Set Your User Rights Template

  1. Go to the Settings tab and select General.
  2. Open the Roles & Rights section.
  3. For each role, select or clear the checkboxes for the rights you want that role to have.
  4. Click Save when you've finished.
 
 
 

Tips

  • Each role comes with default rights already selected. Review them for every role to make sure they fit your organization's needs.
  • Best practice: give the Administrator role all rights.


Default User Roles in Tango Reserve

Reserve includes four default roles. Here's what each one is typically used for.


Administrator

Administrators have every right in Reserve and are the escalation point for system-related questions. Typical responsibilities include:

  • Managing system data, including all locations and business rules
  • Updating rights and access to General Settings
  • Accessing the Data Management Utility (DMU)
  • Creating user profiles
  • Assigning elevated roles to other users (for example, making another user an Administrator)

This role is typically held by someone on the Corporate Real Estate team or in IT.

Best practice: Have 2-3 Administrators per client. Administrators should complete the Reserve Admin Training Modules in Tango University.


Manager

Manager is an elevated role for super-users. Managers have more rights than a Registered User but fewer than an Administrator. They:

  • Often manage specific assets or locations based on their user groups, rather than all locations
  • Can serve as approvers for reservation requests

This role is typically used for Facility Managers by location.


Community Manager

Community Manager is an elevated role for power users. Community Managers have more rights than a Registered User but fewer than an Administrator or Manager. They act as the "guardians" of the space and the main point of contact for users. They:

  • Help other users make and manage reservations
  • Answer users' questions about their reservations
  • Make reservations for others in restricted spaces (if they belong to the proper user group)
  • Can bump reservations
  • Often serve as approvers for reservation requests

This role is typically used for administrative employees, floor leads, department admins, reception, conference center staff, and helpdesk.


Registered User

Registered Users are the general end-users of Reserve.


Frequently Asked Questions

How do I change a user's role?

You must be an Administrator with the right to Manage Another User's Role. Then:

  1. Go to Settings > Users and open the user's record.
  2. Click User Roles and Rights.
  3. Select the new role from the drop-down.
  4. Save your changes.


Do I need both a Manager and a Community Manager role?

Not necessarily. If you have a small number of locations and assets, you can simplify by using only the Manager role and skipping Community Manager.


Can I create a new role?

Yes, you can click the plus (+) symbol to create a new custom role, then set up the Rights Template for that role. Check out this article for more information.
