Adding Photos and Documents in different Entities

SUMMARY:

This document outlines the steps for adding photos and documents across different entities

In the entities, you can add documents or photos on the Photo Tab or Documents tab.

Note: Make sure they have the proper roles. The role might be SiteSelectionandStores in most clients

It is possible that the folders on the documents tab have enterprise security attached to them,

2. Add Document in the folders and sub-folders:

a. The image below shows the Document structure, including Folders and Subfolders

b. The Select All button in Documents enables users to multi-select all documents in a folder.

c. When the user clicks on Send Notification checkbox while adding documents, then the user has an option to either Add Contacts added in the respective entity (Site, Store, Project,Lease) or Add All Users. Users will also have an option to remove the selected contact

d. Clicking on Add Contacts will populate all the contacts added in the respective entity. Users can pick the contact and click OK.

e. Clicking on Add All Users will populate all the system contacts. Users can pick the contact and click OK.

f. Once the user is added using either of options d or e, then they would show up under Notifications on Add Document popup

g. Users also have the ability to delete the document using the Delete button. Upon selecting the desired user from the list and pressing the button will remove the user from the view.

h. On Documents, within Actions, we have an option to attach the document and then send the email notifications to users using Notify Selected Option.

i. There is an added validation to check if any document is selected before clicking

Selected documents will be sent as an attachment if the document count is less than or equal to 4
If the selected document count is greater than 4, then the system will send the Zip file as an attachment
