What is Dynamic User Creation?

Modified on Tue, 3 Mar at 1:16 AM

The Dynamic User Creation is a solution available to Reserve customers who want to automatically create users in Reserve. This solution is implemented by leveraging SAML 2.0.  It has less requirements than setting up a User Management Process (UMP). Unlike the UMP however, it only adds users to Reserve. It does not update user information or terminate users automatically; nor does it assign users to specified user groups other than the default "All Users" group. A Reserve Administrator with rights to manage users must maintain the user data by regularly updating user information including inactivating or archiving users.

The main points of Dynamic User Creation:

  • The setup is fairly simple.
  • Leverages SAML/IDP to create users in Reserve.
    • If a new user is authenticated by the customer's identity and access management service/IDP, that user's profile will get created in Reserve.
  • Secured. The customer controls the user's access via the IDP.
  • Does not require a server or AWS environment (unlike the UMP).
  • Does not automatically archive/inactivate users or modify users
    • This should be done via the DMU by a Reserve Admin or via the UI.
    • Because "access" is controlled by the customer's identity and access management service, a terminated user from your IDP will not gain access to Reserve, even if their Reserve profile is not immediately inactivated.
  • No special user group assignment.
    • Users are assigned to the default user group: ALL USERS.
    • Changes to the user group can be managed in bulk through the DMU by a Reserve Admin.

Important: Consideration for Use

Dynamic User Creation is NOT recommended for clients using the Reserve + Exchange Integration without risking a bad user experience. This is because, in order for a user to successfully create a reservation using Outlook (via the integration), the user must also exist as an active user in Reserve. If they are not, then the user's reservation will fail. A workaround for this would be for the user to first make sure that they log in to Reserve first, using the Reserve SAML URL, which will then allow their account to be provisioned in Reserve. Once their Reserve profile is created, they should be able to use the Exchange integration and book their reservations via Outlook.  However, some end-users may not know to follow this process 100% and could therefore experience the reservation failure.
