What are the required fields for the ADD ASSETS template?

When getting ready to upload your Assets to the Reserve, you will need to first install the Data Management Utility and download an "ADD_ASSETS" template.

Once you open the blank template, certain fields are required to be able to successfully upload the template. Please note, some fields may be optional, however your organization might need to utilize them. An example of this would be the Description column. This is an optional field, but may be required to include an Asset description in your organization's use case.

Required fields in the ADD_ASSETS template are as follows:

  • Asset Name
    • The name of the Asset. Ex: Office 101
  • Location Name
    • The name of the Location where the Asset will reside. The Location must exist prior to Asset upload.
    • The entry is case sensitive and must match the Location name in Reserve.
  • Floor
    • The Floor that the Asset will reside on. The Floor must exist prior to Asset
    • The entry is case sensitive and must match the Floor name in Reserve.
  • Category
    • The category of the Asset
    • Must match available options in the Reserve. Ex: Collaboration Space
  • Type
    • The type of the Asset
    • Must match available options in the Reserve. Ex: Meeting Room
  • Status
    • Must be "Active" or "Inactive" 
  • Monday Open? (The same applies for Tuesday - Sunday)
    • TRUE or FALSE
  • Monday Open Time (The same applies for Tuesday - Sunday)
    • The time that reservations may begin on this Asset.
    • Entry should be in AM/PM. Ex: 12:00 AM
  • Monday Close Time (The same applies for Tuesday - Sunday)
    • The time that reservations cannot go past on this Asset.
    • Entry should be in AM/PM. Ex: 12:00 PM
  • Tuesday Open?
  • Tuesday Open Time
  • Tuesday Close Time
  • Wednesday Open?
  • Wednesday Open Time
  • Wednesday Close Time
  • Thursday Open?
  • Thursday Open Time
  • Thursday Close Time
  • Friday Open?
  • Friday Open Time
  • Friday Close Time
  • Saturday Open?
  • Saturday Open Time
  • Saturday Close Time
  • Sunday Open?
  • Sunday Open Time
  • Sunday Close Time
  • Maximum Days in Advance (Days)
    • The maximum amount of time that the Asset may be reserved in advance. Ex: 365
    • Numerical entry only
  • Requires Check In/Check Out
    • YES or NO
  • Charge Code Type
    • Match to your charge code validation requirements:
      • RequiredNoValidation
      • RequiredDbValidation
      • NotRequired
    • If you do not use charge code or do not wish this to show, please input "none" in this column
  • Minimum Number of Required Charge Codes
    • Enter a number (ex: 2) matching your required number of charge codes
    • If you do not use charge code, please input "0" in this column
  • Use Grace Period
    • YES or NO
  • Grace Period (Minutes)
    • Numerical entry. Ex: 60
  • Auto Bump Time
    • Time entry. Ex: 10:00 AM
  • {Asset Groups}
    • This must match case sensitive to an existing Asset Group in Reserve
    • This entry must follow a specific format: {{`Reserve Assets`}}
    • For multiple asset groups, use the following format: {{`Manager Offices`}}, {{`Reserve Assets`}}
