Floor and Space on Service Request and Work Order

Space and Maintenance

Tango customers using both the Space and the Maintenance applications will notice several key improvements in the coming months. The platform has already been updated in a few areas, and this article will focus on the Floor and Space data on Service Requests and Work Orders.

Floor and Space data set up in the Space application will be available for your Requestor users to select in the Service Request. Floor and Space are optional fields on the Service Request data entry form. If Floor and Space data is Submitted, then it will also be displayed in the Maintenance (Edge) Service Request and on the Work Order that is dispatched to the vendor.

Tango Core/Mobile

For this process, Floor and Space data originates in the Tango Core Space application and the Requestor users will submit the Service Request from within the Tango Core platform or from the Tango Workplace mobile application.

The Core and Mobile Service Request screen can be configured to allow the Requestor end users to optionally select a Floor and a Space (they can also just select a Floor without a Space). If the Requestor user is assigned to a Space, then the Floor and Space on the Service Request will default to their assigned location and can be edited.

Core Service Request

One way the General/Requestor users for customers who have implemented Space can enter Service Requests is from within the Tango Core platform. The Requestor can choose a Floor and a Space on the Service Request before selecting Submit.

Note: Once the Floor is selected, the user has the option of viewing the Floor Plan by clicking on the Floor Plan icon.

Clicking on the Floor Plan Icon will open the Floor Plan viewer in a new browser tab:

Note: At this time the user will need to return to the Service Request and search for the Space Number identified in the Floor Plan. An interactive selection from the floor plan is planned for a future release.

Mobile Service Request

Another way General/Requestor users can enter Service Requests is from within the Tango Workplace mobile application. Again, the Requestor can choose a Floor and a Space on the Service Request before selecting Submit.

Note: Floor Plan viewer functionality is planned for a future release in our mobile application. At this time, the user will select from the list of Spaces in the lookup.

Tango Edge

For Tango clients implementing Space and Maintenance, the Edge Maintenance module can be configured to support Floor and Space data. By default, these fields are currently hidden to not impact existing clients who don’t have Space data.

If Floor and Space data is populated on the Service Request Submitted from Core, the corresponding Service Request and Work Order records created in Edge will also reflect those values. A Facility Manager could also create a new Service Request directly in Edge and select the Floor and Space, or if a submitted Service Request does not auto dispatch to a Vendor, the FM can also override/change what the Requestor populated in the Floor and Space fields.

Edge Service Request - New

A Facility Manager will use the Edge platform to create new Service Requests and review submitted Service Requests. If the Floor and Space fields are enabled for your client, the FM user will see a blank Floor dropdown when they add a new Service Request

After selecting a Location, if there is Floor/Space data on that Location in the Core Space Module, the Floor dropdown will be populated with options to choose from:

After choosing a Floor, the Space dropdown becomes available:

Note: The ability to view the Floor Plan on the Edge Service Request is planned for a future release.

After selecting the Floor and Space values, the FM will have one last chance to review the data on the Dispatch tab (after clicking Dispatch the fields are visible but read only).

Edge Service Request – Update Existing

The FM users in Edge are routed Requests that were submitted by Requestors in Core and Mobile (if they are not auto dispatched to a Vendor). Or the FM can reopen an existing/saved Service Request that has not been Dispatched yet.

In either case, if there is previously saved Floor/Space data then it will be visible and editable by the FM on the Validate tab.

The Facility Manager can modify or remove the Floor and Space data submitted by a Requestor prior to Dispatching to a Vendor.

Edge Work Order

When a Service Request with Floor and Space data is Dispatched, the resulting Work Order will display the Floor and Space data to the Vendors. The Floor and Space data is visible in the existing “Location Information” section.

This section is present throughout the Work Order lifecycle starting from the Vendor Acceptance screen:

Note: The ability to view the Floor Plan on the Work Order is planned for a future release.

Note: If there was no Floor or Space selected on the Request then the Location Information data will dynamically hide the row for any data not populated.
