Adhoc Tasks
Navigate to the Adhoc Tasks sub-tab within the Basic Info tab. This form allows the end-user to create, assign and manage tasks as they relate to the Lease.
- Click on the Add command button:
2. From the Adhoc Tasks pop-up window populate the following fields, at a minimum:
- Task Type: The high-level grouping of the tasks which will help to organize them into easily reportable buckets. Use the drop-down menu to select from the list of values.
- Task Name: Enter the name as defined through the Client’s business defined process.
- Assigned To: Leaving the field blank, click the Search icon. This will bring a pop-up window displaying a list of all internal users to select from. Highlight the row of the record retrieved and click OK.
- Start Date: Enter the date when the task needs to start.
- Finish Date: Enter the date when the task needs to be completed.
- Actual Finish: Enter the actual completion date of the required task.
- Notification 1: Enter the number of days in which the first notification will be sent to alert the assignee. The User is able to send up to 3 notifications to the assignee using the additional notification fields.
- Status: This field will be defaulted to ‘ASSIGNED’ upon the initial creation of the Task and will change to ‘COMPLETE’ once the task is completed.
- Click Save and the added task will appear in the task list on the screen.
Once tasks are created, they will be accessible in the following 3 ways:
- Admin Task Viewer – a standard tile which allows for export of tasks across all leases. Refer to Section 9.13 in Appendix 2 for more details relating to this tile.
- My Tasks – a standard tile which allows for export of tasks pre-filtered by user. Refer to Section 9.12 in Appendix 2 for more details relating to this tile.
- Lease Details > Ad-hoc Tasks sub-tab – the sub-tab located directly within each lease which allows for export of tasks specific to the single lease.
