New Lease Clone Functionality to Copy/Clone an Existing Lease to a New Record

Introduction

This article will allow you to copy/clone an existing lease to a new record with the flexibility to select what information is copied (i.e., New Lease Number, New Lease Name, and New Lease Tenancy Type, and More).

This feature is available only for existing leases where the Lease Abstract Status is 'Draft,' 'Active,' or 'Inactive.'

Why You Should You Use This Functionality?

This new functionality has several use cases that will help you make it easier to copy the information from an existing lease to a new lease record. Listed below are the use cases associated with this 'Clone' command button: 

  • Create a new payable lease with similar terms (when a new lease replaces an existing lease instead of a renewal).
  • Create a receivable lease for a full or partial sublease of space.
  • Establish a standard/template lease for a particular concept/brand/landlord to re-create new agreements. After creation, the lease can be moved to a different location record.

Steps

Step 1: Login using the user credentials. Upon successful login, it will display the Tango functional dashboard. Select the 'Leases' icon from the 'Leases' module.

Step 2: Search and select the desired lease and click the view details icon.

Step 3: Click the 'Clone' command button on the 'Basic Info tab' to copy the lease details.

Step 4: Once the clone command button is selected, a new pop-up window appears. Enter the information in the 'New Lease Number,' 'New Lease Name' textbox, and also select the 'Tenancy Type' from the drop-down menu (**Note -The value will default to AP (Lessee).'

Select one or more of the following Sections to Clone:

  • Options and Terms
  • Clauses
  • Contacts (Linked)
  • Recurring Costs
  • Obligations
  • Tracking Worksheets
  • Percentage Rent
  • Lease Accounting

**Note - By default, the Basic Info section will automatically be checked as a mandatory requirement.

Step 5: Click the 'Clone' command button to accept and copy the inputs.

**Note - Each record will be copied as-is with the following exceptions:

  • The Lease Abstract Status will be set to 'Draft.'
  • The workflow status/history will be set to null.
  • The 'Vendor/Franchisee Number' will be set to null in Recurring Costs if this option was selected to be cloned.
