Introduction
In March 2024, Tango Maintenance was enhanced to allow the Selection of a Facility Manager (FM) user on a Service Request and Dispatching a Work Order directly to a Facility Manager. This functionality greatly simplifies the requirements on completing Work Orders in Tango and entirely cuts out the need for External Vendors or Internal Maintenance team users.
This Article will explain the setup and process around the ability to Dispatch Work Orders directly to a Facility Manager. This functionality builds upon the existing Trade Management and Internal Maintenance processes and this article assumes some knowledge of those areas of the product.

1. Setup
The data setup required to enable this functionality is part of the existing Trade Management records.
- Note: This setup can only be done by users with the Facilities Admin role.
Maintenance Lead checkbox is available on the Facility Manager Trade record. Checking this box will result in the Facility Manager being selectable from the Maintenance Lead lookups.
Please see the animated gif below for a full process of creating a Facility Manager Trade record and setting the Maintenance Lead checkbox.
Steps:
- Log in as user with Facilities Admin Role.
- Click the Logo on the top left to expose the entire Menu structure (if needed)
- Navigate to the Trade Management menu and click Facility Managers

Note: If the User/Role integration from Core is enabled for your client, a Facility Manager Trade record will be created automatically when the Role is assigned to the User in Edge
- A single User can only have 1 type of "Trade" record set up, so a user can only have the Facility Manager Role, or the Maintenance Lead Role, or the Maintenance Technician Role
- The appropriate Trade record will be automatically created for the corresponding user when the Role is assigned

Note: If the User/Role integration from Core is enabled for your client, a Facility Manager Trade record will be created automatically when the Role is assigned to the User in Edge
- If needed, create a new Facility Manager Trade record:
- Click Add
- Click the magnifying glass icon on the User Lookup field to Find the Facility Manager
- Save the record
- Optionally assign Trades, Locations, etc.
- Any Locations already associated to the User will display automatically
- On the Facility Manager Trade record, check the Maintenance Lead checkbox

- Optionally you can associate the FM to Maintenance Technicians
- This will allow the Facility Manager to assign Technicians to the Work Orders

- After doing all updates, Save the record and close it (setup is done for this User)
- Repeat for all Facility Managers who you want available as the Maintenance Lead
2. Process
The ability to select a Facility Manager on to a Service Request and subsequently Dispatch the Work Order to the FM builds upon the existing Internal Maintenance functionality. After the FM Trade data is setup (as per the above steps), the Facility Manager user will be selectable in the Maintenance Lead lookups on the Service Request and Internal Maintenance Work Order screens.
At a high level, the FM is treated as the Maintenance Lead in terms of Selection/Dispatch but not given the Maintenance Lead Role/Access in the application.
Step By Step
1. On the Service Request, Select Step, choose Internal Maintenance
2. Click the magnifying glass icon to search for the Maintenance Lead
3. Select the Facility Manager from the list of available Maintenance Leads
4. Click Next to Proceed to the Dispatch step
5. Click Dispatch to create the Work Order (Note the Facility Manager's email is displayed in the Maintenance Lead field)
6. The Facility Manager can now open the Work Order and proceed to complete the work
Note: The Maintenance Lead lookup can be updated to reassign the Work Order on any Internal Maintenance Work Order. The Facility Manager will be available in the lookup for any Maintenance Lead field.
