FAQ
Q: Can a visitor check themselves in upon arrival?
A: Yes, through the Lobby Kiosk application. See the Lobby Kiosk section for details.
Q: If a visitor has not been preregistered, can they register themselves at the lobby kiosk?
A: Yes, the visitor will enter their email address and contact information. If they select a host, the host will receive an email notification. Visitor Managers also receive notifications when visitors arrive. More information may be found in the Lobby Kiosk section.
Q: Does a user need elevated rights or roles to create a visitor/visit?
A: On April 11, 2025, a new right for "Create Visits" was added to the system. If a user has this right enabled, then they can create visitors and visits. If they do not have this right enabled, then to create a visitor/visit, a user must either be:
- a Visitor Administrator. This is a user who has the "Visitor Administrator" Account Right.
- a VM Manager. This is a user who has been selected as the VM Manager of one or more locations.
- a Preferred Host. This is a user who has been selected as a host or alternate host for a specific visit type.
These types of users and users with the "Create Visits" right can create visits from the My Visitors screen via the Create Visit button. More details.
Q: Does the visitor receive an email?
A: Not at the present time.
Q: Do all users see all visits in the "My Visitors" screen?
A: No. Regular Hosts see only their own visits. Preferred Hosts see all visits related to their assigned locations and visit types. VM Managers see all visits at their assigned locations.
Q: Does a user need elevated rights or roles to update the status of a visit?
A: On December 12, 2025, a new right for "Manage Visit Status" is being added to the system. If a user has this right or the "Visitor Administrator" right enabled, then they can change the status of a visit. If not, they cannot update a visit's status. See details.

Visitor Management Property - To turn on Visitor Management for an instance/account, the visitor.enabled Reserve property must be set to true in AQ Console. It is false by default. The Visitor Administrator right will not be visible in the Role & Rights screen unless this property is enabled.
Visitor Administrator – This user has the “Visitor Administrator” right. They are the only users who can assign VM Managers to specific locations. They can manage all Visitor Management settings.
VM Manager – This user was selected by a Visitor Administrator to manage visitors for one or more locations. VM Managers can only manage visitor settings for the locations to which they are assigned. In some places they are called VM Location Managers.
Preferred Host/Alternate Host – Hosts receive email notifications for their visitors. If there are specific users who generally handle a specific type of visit, they can be predefined in settings as Preferred Hosts and Alternate Hosts. The following features are coming soon: If predefined, the Preferred Host will be preselected when visits of that type are created, and their name will be listed for quick selection if a Visitor is performing self check-in at a kiosk. The Alternate Host’s name is visible in the visits table so that they can easily be reassigned as the host if the Preferred Host is unavailable.
Host – Any user can be selected as a visit’s Host. Hosts receive email notifications for their visitors. A host will be able to see all their visits in the “My Visitors” screen. Hosts can perform actions on and update the status of their visits.
Acknowledgements – If there are terms and conditions, entrance screening questions or any other information that should be presented to visitors, this is configured within the acknowledgements. Each acknowledgement is set to required or not required and may be displayed on every check-in for that visitor or only on their first visit. Display dates as well as a link and/or text may be specified for each acknowledgement. Acknowledgements can be saved for multiple languages.
Visit Types – Available visit types include: Meeting, Conference, Interview, Site Visit, Service Provider, Contractor, and Staff. Each Visit Type has settings for Preferred/Alternate Hosts, Statuses, Closing Message, and Visitor Badge.
Welcome Screen – The text specified for a location’s welcome screen will be displayed on the kiosk when a visitor arrives.
Closing Message – Text specific to each Visit Type to be shown on the closing screen when visitors have checked in at a kiosk.
Visitor Badge – Configurable at the Visit Type level. Any of the following details may be selected to be printed on the badge: Visit Type, Visitor First & Last Name, Designation, Company, Address, Phone Number, Host, Scheduled End Date & Time, Photo, and Location Name. There is a checkbox in the settings for “Enable auto-print badge on successful check-in.” When this is enabled, the Print Badge dialog box appears after pressing the Check In button.
Setup
Initial Setup for Admins and Managers
- The Reserve Console Administrator sets visitor.enabled property to true in AQ Console. (This is completed by a Reserve tech)
- The organization's Administrator checks off the Visitor Administrator right for the user(s) who need the highest level of control over visitor settings.
- As the Visitor Administrator, go to Settings -> Visitor Management and select at least 1 VM Manager for the desired locations. At this point, the admins and managers are set up. You can always go back and remove or add VM Managers for a given location.
- Follow the steps in the setup sections below to configure visitor settings for each location.
- After all setup is completed for a location, when you are ready to enable the Visitor Management features for end users, check the box labeled “Enable Visitor Management for this selected location” at the upper right of the Visitor Management Location Settings window. When Visitor Management is enabled for a location, the VM checkbox is checked in the Locations Table View. Applied settings for each location are shown in this table.
Visitor Management Settings Screen
If Visitor Management is enabled for an Instance/Account, the “Visitor Management” tab is shown in the Settings screen. It contains the configurable options for locations and visit types, detailed below. It is visible to and can be managed only by Visitor Administrators and VM Managers. Visitor Administrators have access to all settings within the Visitor Management tab. VM Managers have access to settings for the location(s) to which they are assigned.
Setup of Location
- As the Visitor Administrator or the VM Manager, go to Settings -> Visitor Management and click on a location name. This takes you to the Location Settings screen.

- Check the box for "Include Package Delivery option" if carriers should be allowed to use the kiosk for package delivery. Go to Setup in the Lobby Kiosk section of this document for more details on configuration within the kiosk.
- If a VM Manager has not yet been specified, they can be selected in this screen by a Visitor Administrator. A location may have multiple VM Managers.
Setup of Welcome Screen
The Welcome Screen will only be displayed in the Lobby Kiosk application. This step should be omitted if your organization does not use Reserve's Lobby Kiosk. If nothing is entered in this field, when someone taps "Visitors" on the main screen of the Lobby Kiosk, they will see "Welcome! Please select the purpose of the visit" above the visit types/package delivery.
- As the Visitor Administrator or the VM Manager, go to Settings -> Visitor Management and click on a location name. In the sidebar on the left, click on “Welcome Screen.” This takes you to the Welcome Screen for the location shown at the top of the sidebar.

- Enter any additional text needed on the Welcome Screen when the visitor signs in at the kiosk. This text will appear at the top of the screen between "Welcome!" and "Please select the purpose of the visit." In the example below, the text entered in the field is "We're glad you're here."
Setup of Acknowledgements (Terms & Conditions, Entrance Screening, etc.)
- As the Visitor Administrator or the VM Manager, go to Settings -> Visitor Management and click on a location name. In the sidebar on the left, click on “Acknowledgements.” This takes you to the Acknowledgements for the location shown at the top of the sidebar.Setup can be performed for multiple languages if desired by using the drop-down menu at the top. If setup is completed for only one language, the visitor will not be required to select a language during registration.
- By default, two unconfigured Acknowledgements labeled “Terms & Conditions” and “Entrance Screening” are displayed. You can change the labels to suit your needs. They will not be shown to the visitor. The preview section at the bottom of the screen shows how the Acknowledgements will appear on the screen where visit check-in is performed.
- Click on the edit icon to configure an Acknowledgement.
- For “Checkbox Entry” select “Required” if the checkbox for this Acknowledgement must be checked during registration. Select “Not Required” if the checkbox is optional.

To add them, start typing in the Host or Alternate Host field to search, then select the desired user. Once saved, the Preferred Host’s name will be preselected when visits of this type are created, and their name will be listed for quick selection if a Visitor is performing self-check-in at a kiosk (when Reserve's Lobby Kiosk application is used for visitors). Another host can always be selected manually. The Alternate Host’s name is visible in the visits table so that they can be assigned as the host if the Preferred Host is unavailable.
- Select the applicable statuses. Each visit type must have statuses of Scheduled, Arrived and Checked Out. Additional statuses are optional and include: Host Assigned, Received, Out On Break, Back From Break, and Ready For Check-Out. Only the selected statuses will appear as options in the visit workflow. The host, VM Manager or Visitor Administrator can change the status of their visits.

Any message that is entered in this field will be displayed below the standard closing message.
- Follow steps 1 and 2 above and click on “Closing Message” in the sidebar.
- Select English in the language drop-down menu. No other languages are supported in the Lobby Kiosk application at this time.

Enable Visitor Management
After all setup is completed for a location, when you are ready to enable the Visitor Management features for end users, check the box labeled “Enable Visitor Management for this selected location” at the upper right of the Visitor Management Location Settings window. When Visitor Management is enabled for a location, the VM checkbox is checked in the Locations Table View. Applied settings for each location are shown in this table.
Enable the "Create Visits" right for the appropriate users
On April 11, 2025 a new user right was added to Reserve. This allows users to create/manage visits and see only those visits which they have created or are the host, without needing any of the other VM roles/assignments. It is disabled (unchecked) by default, and is only visible in the User Roles & Rights screen when Visitor Management has been enabled by a Reserve tech.
As an Administrator, in Settings, go to General -> Roles & Rights. Select the desired role template, check off the "Create Visits" right and press Save at the bottom. Repeat this for all role templates needing the Create Visits right. The change will be applied asynchronously to all users who currently have that role. The current role of each user can be found in Settings -> Users, or via the DMU. If you have any users with personalized roles who need the Create Visits right, those will need to be updated individually by going into the Role & Rights screen for that user. See Personalized Roles for details.
Enable the "Manage Visit Status" right for the appropriate users
On December 12, 2025 a new user right is being added to Reserve. This allows users to change the status of visits. Only users who have the new “Manage Visit Status” right or those who have the existing “Visitor Administrator” right are able to change the status of a visit. Up until this change, if a user could create a visit then they could also change the status of a visit. Statuses and related actions include Check In, Check Out, Cancel Visit, Arrived, Received, Out On Break, Back From Break, and Ready For Check-Out. By default, the registered user role does not have the “Manage Visit Status” right. The other three default roles (Administrator, Manager, and Community Manager) do have the “Manage Visit Status” right by default, but this can be changed in settings.
As an Administrator, you can check or uncheck the "Manage Visit Status" right for a specific role. In Settings, go to General -> Roles & Rights. Select the desired role template, check off the "Manage Visit Status" right and press Save at the bottom. Repeat this for all role templates needing the Manage Visit Status right. The change will be applied asynchronously to all users who currently have that role. The current role of each user can be found in Settings -> Users, or via the DMU. If you have any users with personalized roles who need the Manage Visit Status right, those will need to be updated individually by going into the Role & Rights screen for that user. See Personalized Roles for details.
Working With Visits
My Visitors Screen
If Visitor Management is enabled for an Instance/Account, and the user has the "Create Visits" right or is a Visitor Administrator, VM Manager, Predefined Host, or Host, “My Visitors” appears in the main menu at the upper right of the Reserve Web Application. Here users will see the visits for which they are the creator, the host, or the visits which are relevant to their role as Visitor Administrator or VM Manager.
The searchable table of visits displays the visits relevant to that user and their permissions. Users with the "Create Visit" right and Regular Hosts see only their own visits. Preferred Hosts see all visits related to their assigned locations and visit types. VM Managers see all visits at their assigned locations. In the Actions column, users can perform actions such as Check In, Check Out, Update Status, Assign Host, Print Badge, Create Reservation, and Cancel Visit. Users can click on the status of a visit to view the details. On this screen, Visitor Administrators, VM Managers, and Predefined Hosts can enter information and make changes such as accepting acknowledgements and adding a photo.
Creating a Visit
Users who have the "Create Visit" right, or are Visitor Administrators, VM Managers or Preferred Hosts can create visits from the My Visitors screen via the Create Visit button.
- Go to the main menu and select My Visitors.
- Click the Create Visit button.
- Enter the Visitor’s email address. It is important that the email address is entered properly as the email address identifies each individual Visitor in the system. Once you’ve entered a valid email address, the Create Visit window will appear (shown below) and any profile information previously saved for this Visitor will be auto populated.
4. Enter all required fields.
5. If the visit is scheduled for today, the Save & Check In button will be enabled. ONLY PRESS THIS IF YOU WANT TO CHECK IN. Otherwise you must press the Save button.
Checking In and Accepting Acknowledgements
Users must have the Create Visits right or be Visitor Administrators, VM Managers or Preferred Hosts to update visits within the visit details window. They may also perform actions directly in the table of visits as described in the next section.
-
Click on the visit’s status or the Check In icon to open the visit details window.
- If this visit contains acknowledgements, they are shown on the window’s right side between the Co-Visitors section and Admin Notes. They may include a link and/or text. For each acknowledgement, click on the link (if applicable) and follow any instructions in the text. The Visitor should be shown all acknowledgement documents either on a screen or on paper. Check the box to accept the acknowledgement for the Visitor.
3. Make any other necessary updates and click Save & Check In.
4. If auto-print badge is enabled, the print badge dialog box will appear. Select Print or Cancel.
5. The visit now has an arrival time, the status is updated, and an email notification is sent to the Host and VM Manager(s). Some statuses are optional, so depending on your organization’s settings, the status becomes “Arrived” or “Host Assigned.” “Host Assigned” indicates that the visit has a host.
6. If the Host has received the Visitor and your organization uses the “Received” status, you can update the visit with this status via the Update Visit Status icon in the actions column. This and other actions are described in detail in the “Update a Visit’s Status” section below.
Actions
If a host is not a predefined host or the creator of the visit, they cannot check off acknowledgements or modify the visit details as described in the section above, but they can update a visit’s status and perform actions such as Check In, Check Out, Cancel Visit, Create Reservation, and Print Badge.
To check in a Visitor as their Host and change their status to “Received” if applicable:
- Click on the Check In icon.

5. If your organization uses the “Received” status, once you greet your visitor you can mark them Received. Select this status by clicking on the Update Visit Status (pencil) icon, and selecting Received from the drop down menu. Select Save. The status is now updated to “Received” and an email notification is sent to the host and the VM Manager(s).
To update a visit’s status (as a Visit Creator, Host, Visitor Administrator, VM Manager, or Preferred Host):
When visits are created, a visit type is selected. Each visit type must have statuses of Scheduled, Arrived and Checked Out. If no new host is selected, the previous host will receive an email stating that they are no longer the host and the VM Manager(s) will receive an email notifying them that a host needs to be assigned.
To create a reservation:
- If the visitor requires a reservation for an asset in Reserve, click the Create Reservation (calendar) icon.
2. You will be directed to the availability search on the home page. The start and end time will be set to the visit time and can be modified. Search for and select the desired asset to create the reservation. You will be the reservation’s owner.
To print a badge:
The print dialog box will automatically appear after check-in if auto badge printing is enabled. Badges may also be printed anytime before departure via the Print Badge icon in the actions column.

Scheduled visits are those which were created more than 5 minutes prior to the visit's start time. Walk-in visits are those which were created within 5 minutes of the start time. No-shows are those visits which were scheduled but never checked in. Future visits are displayed in this widget when the date range includes dates in the future.
Lobby Kiosk
Many organizations have moved away from front desk receptionists. A self-check-in kiosk allows visitors to register themselves upon arrival. Visitors view and accept acknowledgements for NDA and other screening requirements. Photo capture is available. If badge printing has been enabled by the organization, badges may be printed. Upon Visitor arrival, the system sends an email notification with the necessary information to the Host and Visitor Manager(s). If package delivery is enabled, a carrier may select Package Delivery at the kiosk, which sends an email notification to the address specified in the kiosk settings.
Setup
1. In the Web Application, perform each step described in the setup section at the beginning of this document. The Welcome Screen and Closing Message are only used by the Lobby Kiosk application. The box for "Enable Self-Check-ins" must be checked in order for Visitor Management to apply. If the "Include Package Delivery option" is checked, then carriers will be allowed to use the kiosk for package delivery after configuration is completed.
Note: To use Visitor Management on the Lobby Kiosk, your device must be able to support a resolution of 1920x1080.
2. In the kiosk, go to Settings and select the Visitor Management tab.
The settings for the following fields will apply to the Visitor screens on this kiosk:
Unique Identifier - Optional. If multiple kiosks are being used at this location, this field can be used to identify this specific kiosk. Input text such as "East Entrance," "2nd Floor Reception," "Kiosk A," etc. The unique identifier will be included along with the location name in package delivery email notifications so the recipient knows which kiosk was used by the carrier when delivering the package.
Location - Required. Locations already configured for Visitor Management will be listed here. You must select the desired location for visitors to use all of the options. If no location is selected, then visitor functionality is limited to the simplified flow that existed in the kiosk application before Visitor Management was implemented in October 2023, which only allows the visitor to notify their host or reception that they've arrived.
Badge Printing - Optional. Enable only if this kiosk is connected to a printer set to print on 62mm x 100mm media. When checked, a badge may be printed after successful check-in. Example of a printer is Brother QL-820NWB.
Photo Capture - Optional. Enable only if this kiosk has a camera which is properly oriented. When checked, the visitor may capture a photo for their badge and/or email notifications about the visit. This may also be used for carriers to capture a photo of the package they are delivering.
Languages - Optional. Currently, only English is available. Contact your CSM if additional languages are needed.
Delivery welcome message - Optional, but necessary for a good user experience if package delivery is enabled. Text entered here will be displayed on the screen when a carrier has selected Visitors -> Package Delivery. If no text is specified, the carrier will simply see the Cancel and Finish buttons.
Delivery closing message - Optional. Text entered here will be displayed on the screen after the carrier has pressed the Finish button. By default "Thank you!" is specified.
Email address to notify - Required if package delivery is enabled. If no email address is specified in this field, the Package Delivery option will not appear on the main Visitors screen. The email address that is entered here will receive an email notification when a package has been delivered.
3. Make sure that in the Mode tab, the checkbox for Visitors - Display is checked.
Visitor Experience
On the main screen, tap Visitors.
Select from the available visit types or package delivery (if enabled).
Enter your email address. If you have been pre-registered as a visitor, your information will already be populated in the next screen.

Example 1 with links to T&C and Entrance Screening pages
Example 2 with only entrance screen questions
If a camera is configured, a photo will be taken after the countdown. You may retake the photo if desired. The check in button will be enabled after a photo is taken.
If automatic badge printing is enabled, the print window will appear. You may print a badge or cancel.
Your host will be notified of your arrival. A closing message will appear on the screen. No further action is required.
Package Delivery
If Package Delivery is enabled, the carrier will select Visitor on the main screen and then Package Delivery.
Instructions for the carrier are displayed. If no camera is enabled, the carrier will select Finish.
