User Guide: Logging Attendance via Mobile App Location Check-In

This guide explains how Location Check-In works in Reserve’s Android and iOS mobile apps, when the option appears, what users can expect before and after checking in, and how managers access the attendance records.

What this feature does:
Location Check-In lets users record being physically onsite at a location if they do not have a reservation for that day.


Important:
This feature records daily attendance only. It does not track how long you stayed, it does not require check-out, and it is not intended for emergency or safety use.


When to use Location Check-In

Use Location Check-In when you are physically at a geofenced location and want to record your attendance for that day via the mobile app. 

  • If you are onsite for a meeting, training, conference, or drop-in visit without a reservation, Location Check-In captures that attendance. 
  • If you visit more than one location in a day, you may check in to each geofenced location separately. 
  • If you already have a reservation for the day (you are the owner of the reservation), the Location Check-In button will not be shown. This prevents confusion with reservation check-in. 
  • A geofence is a virtual boundary around a location. Your organization defines the geofence radius in meters, using the location’s Google Maps pin as the center point (if the location wasfirst created in Reserve). If the location was originally configured in Tango Space, then thelatitude and longitude coordinates are the center point. When mobile app users are within thisboundary, they can check in to eligible reservations or locations.


How it works

The mobile app uses your device location to determine whether you are inside an eligible location’s geofence. When you are inside a supported location and your organization has opted into this feature, the app will show a Location Check-In option on the home screen.


You must be physically inside the location boundary (geofence) for the button to appear.


When you tap the button, the app sends a check-in for that location and day. After a successful check-in, the app shows a confirmation such as Checked in at {Location}.


Once per day per location:
You can check in to the same location only once per day, but you may check in to additional locations on the same day if you are physically inside the geofence at those locations.


Before you start

To use Location Check-In successfully, all of the following must be true:

  • The feature is enabled for your organization. This step is performed by Tango personnel. 
  • Location services are enabled on your device. 
  • The Reserve mobile app has the required location permission. 
  • You are physically inside an eligible location’s geofence. 
  • You do not already have a reservation or a same-day check-in recorded for that location.


If location permissions are turned off, or if you are outside the supported location boundary, the Location Check-In option will not appear.


How to check in

  1. Open the mobile app when you are at the office or venue. 
  2. Wait for the app to recognize that you are inside the location. 
  3. Look for the Location Check-In option on the home screen. 
  4. Tap Location Check-In. 
  5. If more than one eligible location is detected, select the correct location. 
  6. Wait for the confirmation message showing that you have checked in.


If the app detects multiple nearby or overlapping locations, you may be asked to choose one before the check-in is submitted.


What you will see after check-in

After a successful check-in, the app should reflect your status for the rest of the day for that location.

  • You see an indicator such as Checked in at {Location}. 
  • You cannot check in again to the same location that day. 
  • You may check in to another location that same day if you physically enter that location.


What Location Check-In does not do

  • It does not check you out automatically or manually. 
  • It does not measure how long you remained onsite. 
  • It does not replace reservation-specific check-in behavior. 
  • It is not designed as a live emergency roster or safety tracking tool.


Attendance Records

Location check-in data is available to managers who have the right to “Manage Users” in Reserve. Log in to the Reserve web application to view and/or export Location Check-In data. The report includes users who used Location Check-In to record their presence at a location where they did not have an existing reservation.

  1. Go to Settings → Reports → Attendance Records
  2. By default, the date range is set to the past week. Enter the desired date range.
  3. Search fields for Location and User Name are optional. Click the Search button.
  4. Report data includes Date, Location Name, User Name, and Email Address.
  5. To download, click Export CSV. There is a 10,000 row limit.


Troubleshooting

No action is needed unless you intended to check in at a different location


Frequently asked questions

Q: Do I need a reservation to use Location Check-In? 

A: No. This feature is intended for cases where you are physically at a location without a reservation for that day. If you need to make a reservation after using Location Check-In, you can. 


Q: Can I check in to more than one location in a day? 

A: Yes. If you physically enter multiple eligible locations in the same day, you may check in once per location. 


Q: Why is the button missing when I have a reservation? 

A: The app will hide the Location Check In option when you have a reservation that day for that location to avoid confusion between location attendance and reservation check-in. 


Q: Does this feature track how long I stayed? 

A: No. It records a daily attendance signal only. 


Q: Do I need to check out when I leave? 

A: No. This feature does not include check-out.
